1. Information Aira handles
The information depends on how you use Aira:
- Account and profile: email address, account identifier, name, selected role, locale, organisation name and profile image or professional profile details you provide.
- Wellness and reflection: journal entries, journal progress and mood check-ins you choose to save.
- Assessments: dated result summaries, scores, instrument and version, safety-response indicator where relevant, report-access state and sharing choices.
- Communication and care coordination: private conversations, messages, assessment recommendations, notifications, session requests, availability, scheduled times and stated fees.
- AIRA companion preview: guest messages are kept only in the open page. If you sign in and separately agree to save a new conversation, its text messages and AIRA’s replies are stored in your account until you delete them. Audio recordings are not added to saved history. When secure AI connections are configured, your separate consent enables processing of typed messages by OpenAI, or recordings and voice transcripts by OpenAI and the selected voice provider. Page-only history does not mean that consenting messages stay on your device. Provider processing and retention are subject to the providers’ terms. Do not enter names, contact details, medical records, or other information you would not want visible on your device.
- Learning and opportunities: course or activity progress, internship or mentorship listings, applications and related status changes.
- Professional and institute verification: legal or organisation name, registration or recognition details, qualifications, attestations, public-register links, reviewer notes and uploaded evidence documents.
- Service activity: records needed to operate account dashboards, enforce permissions, troubleshoot errors and protect the service.
Please do not add health, identity or contact information where a field does not ask for it.
2. What happens to assessment answers
You can complete supported assessments without an account. Those answers stay in the page for the current activity and are not added to an Aira account history.
When a signed-in user chooses to save a supported assessment, item-level answers are sent to Aira’s Supabase-backed scoring function. The function calculates the result and stores a dated summary, including the score and interpretation fields; it does not store the individual item answers in assessment history. A safety-response indicator may be included in the saved summary when the instrument contains a safety item.
You may later share one saved summary with a verified professional and revoke that access. Sharing a summary does not publish it and does not expose item-level answers.
3. Why information is used
- create and maintain accounts and role-specific workspaces;
- save the reflections, summaries and progress you ask Aira to retain;
- enable participant-only messages, recommendations, scheduling and applications;
- review professional and institute evidence and enforce access controls;
- show notifications and relevant dashboard activity;
- prevent misuse, secure the platform, diagnose failures and meet applicable legal obligations; and
- improve the product using appropriately limited service feedback and operational information.
Aira does not currently sell personal information or use it for behavioural advertising. This testing build does not include an advertising network.
4. Who can see information
Private records are intended to be visible only to the account holder and the people or administrators who need access for the feature:
- conversation participants can see messages in their conversation;
- a verified professional can see a saved assessment summary only after the user grants access to that result; recommending a check-in does not by itself grant access to its summary;
- authorised reviewers can access verification submissions and evidence for review;
- institutes and professionals can access applications, bookings or opportunity records they are authorised to manage; and
- professional directory information may be public only when the professional is verified, marked visible and the relevant feature is enabled.
Aira may also disclose information where required by law, to protect a person from serious harm, to investigate misuse, or as part of a properly documented business transfer. Aira does not promise that the platform is continuously monitored for crisis messages.
5. Service providers and processing locations
Aira uses Supabase for authentication, database functions, realtime features and private file storage. Supabase receives the information needed to provide those services under its own service terms. Pages may also request web fonts from Google, which can receive ordinary network information such as an IP address and browser headers.
Service providers may process information in countries other than your own. Aira must confirm production hosting regions, contracts and any required transfer safeguards before public launch. No payment processor is connected and Aira does not currently collect payment-card or UPI credentials.
6. Information stored on your device
Aira and Supabase use browser storage needed to keep you signed in and remember interface choices. Signed-out journals or mood check-ins may be saved only in that browser’s local storage when the interface says they are on this device. Clearing browser data, using another device or private browsing can remove or hide device-only information.
The AIRA companion preview keeps its displayed conversation only in the open page. When configured and consented, voice records a turn, sends it after a pause, and keeps the microphone off while preparing and playing a reply. Listening resumes after playback until you turn voice off or a session limit or error stops it. Turning voice off releases microphone and playback resources but does not delete displayed messages or recall data already sent. Closing the page or clearing the conversation removes displayed companion messages. Saved companion conversations remain in the account until the owner deletes them. Clearing the page or ending voice does not delete saved account history. Deletion removes active conversation records and their messages; backup copies may remain until backups rotate. The exact backup deletion window has not yet been published. Do not use saved history for information requiring a guaranteed deletion deadline.
This testing build does not intentionally place advertising or cross-site behavioural tracking cookies.
7. Retention and your choices
Aira keeps account records while needed to provide the requested feature, protect the service, resolve disputes and meet legal obligations. Exact production retention periods have not yet been finalised and must be documented before public launch.
Available controls let users delete certain saved assessment results, revoke summary sharing, remove editable verification evidence and sign out. Some records may need to be retained for security, verification review, legal or future financial-record obligations. Aira should explain any such exception when responding to a request.

8. Security
Aira uses account authentication, role checks, database access policies and private storage rules intended to limit access. No online system can be guaranteed completely secure. Use a unique password, protect your device and sign out of shared devices. Do not send passwords or verification documents through ordinary email or an unsecured chat.
If you believe your account or information has been exposed, stop using the affected session and contact the testing-stage operator promptly through the route below.
9. Children and age-appropriate use
Aira has not yet completed the consent, guardian, safeguarding and age-assurance design required for a service directed to children. A person who cannot legally consent to use an online service where they live should not create an account without a parent or legal guardian’s involvement and any consent required by law.
10. Changes to this notice
Aira should update the effective date when its data practices materially change. If a change requires consent, it should be requested before the new use begins. Payment collection, new analytics, new processors or materially different uses require this notice to be updated before launch.
11. Privacy requests
For access, correction, deletion or other privacy questions, email support@aira-psychology.tech. Include only enough information to identify the account and request; do not send passwords, health details or identity documents by email. This inbox is not an emergency service.
The legal operator’s verified identity, registered address, and any required grievance or regulatory contact must still be published before public commercial launch.
